Sheets Geocoder guide

How to Geocode a Real Estate Property List in Google Sheets

Turn a real estate property spreadsheet into reviewed coordinates for listing maps, comparable-property analysis, inspections and market research.

Quick answer

Preserve each property ID, clean the situs address, geocode into separate latitude and longitude columns, filter failed or approximate results, and review important properties against authoritative parcel or listing records before mapping.

Separate property identity from location

Addresses change format across MLS exports, assessor files and internal systems. Preserve a stable property or listing ID, the raw source address and the cleaned address used for geocoding. Keep analytical fields beside them rather than inside the address string.

Pilot every source before combining the portfolio

  1. SegmentLabel MLS, assessor, inspection and manually entered records.
  2. CleanPreserve original values while creating a geocoding address.
  3. PilotRun representative urban, suburban, rural and new-construction properties.
  4. ReviewInspect failures, centroids and important comparables.
  5. PublishExport only fields appropriate for the audience.

A property point is not a parcel polygon

A rooftop-looking point may identify a building while omitting parcel size, access, frontage and legal boundaries. Rural properties can be especially misleading when a mailing address references a distant road or shared mailbox. Use assessor or land-registry geometry when the analysis depends on ownership boundaries.

Publish the minimum property data

  • Remove owner, tenant and applicant names unless the use requires them.
  • Exclude access codes, inspection notes and private contact details.
  • Check whether vacant or sensitive properties need reduced precision.
  • Review map sharing settings before sending a link.
  • Document the source and update date of each property record.

Common questions

Can geocoding identify a legal parcel boundary?

No. An ordinary geocode returns a point. Use authoritative assessor, cadastral or land-registry data for legal parcel geometry.

What is the best property identifier?

Use the source system's stable listing, parcel or internal record ID. Do not rely on row number or formatted address alone.

Can I map comparable sales in Google My Maps?

Yes, for datasets within My Maps' import limits. Keep coordinates, sale attributes and a stable marker title, and remove private fields before sharing.

Should owner or tenant information be geocoded?

Only process personal data when you have a legitimate, documented need and appropriate permissions. Remove names and unrelated fields from the geocoding selection.
